Which communication app is best for your sports team?

July 15, 2025·5 min read

Almost every sports team uses a digital channel for communication. But which channel is best? WhatsApp is familiar and low-barrier, but lacks features for team management. Dedicated team apps offer more possibilities, but require an adoption threshold. In this article, we outline the options.

WhatsApp: convenient but limited

WhatsApp has one big advantage: everyone already uses it. No separate installation is needed and the barrier is low. But for team management, it's less suitable. Messages get lost in an active group, attendance polls are overlooked, and there's no history of training sessions or matches.

Dedicated team apps: more functionality

Apps built specifically for teams combine communication with planning, attendance registration, and financial management. Players see upcoming activities at a glance, can register their attendance, and see their fines. The coach has a complete overview — and no longer has to count messages in a busy group chat.

What to look for when choosing

  • Ease of use: how quickly can players learn the app?
  • Functionality: does the app have attendance, calendar, and fines?
  • Privacy: is data stored and processed securely?
  • Price: is there a free version, or are there costs involved?
  • Support: is help available if there are problems?

Make the switch gradually

Don't switch platforms abruptly. Introduce the new app alongside WhatsApp and let players get used to it. After a few weeks, use the new app increasingly for official communication and WhatsApp fades to the background. This makes the transition smooth.

The best communication app is the one your team actually uses. Involvement in the choice increases adoption — so include the team in the decision.
